To provide physical accommodation and residential management services, we may collect the following information:
Personal Identification Details: Full Name, Date of Birth, Gender, Blood Group, passport-size photographs, and government-issued ID proofs (Aadhaar Card, Passport, Voter ID).
Academic & Contact Details: Student Registration Number, College/University Name, Course Details, Email Address, and Phone Number.
Guardian / Emergency Contact Information: Parents’ or local guardians’ names, contact numbers, residential address, and relationship.
Room & Stay Records: Allotted building, room number, bed identifier, check-in date, check-out date, and inventory checklist.
Billing & Transaction Information: Bank reference numbers, UPI UTR numbers, payment receipt snapshots, and fee dues. Note: We do not store credit/debit card numbers or bank passwords.
Support & Feedback Logs: Maintenance tickets filed, descriptions of issues, uploaded issue photographs, and administrative notes.
We use the information collected for the following purposes:
• To verify identity and facilitate room allocation in compliance with applicable local administrative regulations.
• To generate rent agreements, invoices, and payment receipts.
• To manage hostel security, entry/exit logs, and warden oversight.
• To provide maintenance services and resolve student grievances.
• To send critical operational notices, mess schedules, fee reminders, and policy updates.
Data Retention Clause:
We may retain a student’s information even after the student is no longer enrolled in or using our services. Such information will only be accessible to authorized administrators and other personnel who have a legitimate business or legal requirement to access it.
Historical records, including past KYC records, payment history, room occupancy timelines, and rent agreements, may be preserved for legal and regulatory compliance, statutory audits, institutional record-keeping, dispute resolution, and security and verification purposes.
These records will remain strictly confidential and will not be made publicly available or accessible to unauthorized personnel.
Student data is secured using encrypted connections and restricted through role-based access control (RBAC).
Access to resident documents and records is strictly limited to authorized administrative heads, wardens, and compliance personnel who have a verified business need to access such data.
We do not sell, rent, or trade student personal data to third-party marketing companies.
5. Third-Party Integrations
We may use trusted third-party service providers, such as cloud hosting providers, secure transaction verification networks, and communication gateways, strictly for purposes including maintaining application uptime, processing or verifying transactions, and facilitating notifications.
We expect such third-party service providers to maintain appropriate confidentiality and data-security standards when handling information on our behalf.
